SAP Business One or LightInventory for inventory control

An ERP for small and midsize businesses or a ready inventory system on your own Google Sheet? Approvals, roles, history and setup, compared with sources.

Last updated October 30, 2026

SAP Business One is SAP's ERP for small and midsize businesses, covering finance, sales, purchasing and inventory. LightInventory is a ready-made inventory system that keeps your stock data in a Google Sheet you own. Both have approvals for stock changes; they differ in scope and in what it takes to get started. This page compares the two as of 30 October 2026, with a link to the source for every claim about SAP Business One.

The short answer

  • Choose SAP Business One if you want one ERP for finance, sales, purchasing and inventory, need country localisations, or want detailed approval procedures across all your business documents.
  • Choose LightInventory if you need inventory control only, with approvals, location-scoped roles and a tamper-evident history, and want to start yourself on a Sheet you already use.

Where SAP Business One is better

  • It is a full ERP. Finance, sales, purchasing and inventory run in one system, with 50 country localisations and 28 languages (SAP News).
  • Mature, configurable approvals. Approval procedures cover sales, purchasing, outgoing payments, inventory receipts, transfers and stock counting, with approver groups, minimum approvals and multi-stage templates (SAP Learning). They reach across more of the business than LightInventory's, which cover stock changes.
  • Fine-grained authorizations. Permissions per function and data-ownership rules let you decide who sees whose documents (SAP Learning).
  • Scale and support. More than 83,000 customers, 850 partners and more than 500 extensions (SAP News).
  • It is available now. LightInventory is still in development.

Where LightInventory is better

  • Start on your own. LightInventory's plans and per-user prices are public, and one person can start free on a Sheet they already use.
  • Full history, not a set number of records. LightInventory keeps every change in your Sheet with who, what, when and why, and any change can be reverted. SAP Business One's log keeps the number of records set in its settings (SAP Help, release 9.2).
  • Direct Sheet edits are caught. If someone types into the Sheet instead of using the app, the change is detected and recorded.
  • Security on every plan. Passkeys and multi-factor sign-in are included, not an add-on.

Questions

How much does SAP Business One cost?

This page does not quote SAP prices. Ask SAP or one of its partners for a price for your number of users and your deployment.

Can inventory transfers in SAP Business One require approval?

Yes. Approval procedures can apply to inventory receipts, transfers and stock counting; a document that needs approval is saved as a pending draft until approvers act on it (SAP Learning).

Does LightInventory replace an ERP?

No. LightInventory is built for inventory control. If you need finance, sales and purchasing in one system, an ERP such as SAP Business One is the better fit.
